How it works

1We set it up for your camp Your programs, sessions, prices, forms and policies, your logo and your own web address. Payments go to your own Stripe account.
2Families apply and pay One link for parents. They register one or several children, pay, and come back to their account to see their balance and finish what's missing.
3Your office runs the season Accept campers, track payments, chase what's missing and email families from one panel, on the computer or the phone.

What's included

Everything below is built, tested and in daily use. Nothing on this list is a promise for later.

For families

  1. Online application for one or several children, by program and session.Nothing is lost if a parent closes the page halfway: they pick up where they left off.
  2. A second form after acceptance: emergency contacts, medical information, insurance and permissions.The acceptance email takes the parent straight to it.
  3. Document upload: camper photo, vaccination record and any other file you need.
  4. Payments: the registration fee by card, Zelle or bank transfer, and the balance by card through Stripe.
  5. Installment plans that charge themselves on each date, with the card the parent saved.If a card fails, the system retries and lets the family know.
  6. A parent account with sign-in by email link or Google: application status, balance, installments and PDF receipts.
  7. Parents update their own information, and your office gets an email with exactly what changed.
  8. Installs on the phone like an app, on iPhone and Android.

For your office

  1. All applications in one list, with search, filters, bulk accept or decline, and Excel export.
  2. Several camps and programs (for example, boys' and girls' camps, winter and summer), with staff access limited to the camp and programs each person handles.
  3. Payments at a glance: what came in, what's pending, which cards failed, and a reconciliation against Stripe.Partial payments and deposits recorded by hand go to the right installment.
  4. Scholarships: staff enters the amount, the balance updates on its own, and the office sends the letter when it's ready.
  5. Automatic sibling discount.
  6. Personalized mass email: one message to many families, and each family sees exactly what they are missing, with a link to it. Ready-made templates included.
  7. Automatic reminders once a week for missing forms, documents and payments.After four reminders the family moves to a "call these families" list, and a final notice goes out 14 days before their program starts.
  8. Staff (counselor) application form with its own list.
  9. Accounting export in a file QuickBooks can read, and a log of who did what and when.
  10. The panel on the phone, installable like an app, in English or Spanish.

Questions

Is this really running at a camp today?

Yes. It's in daily use at a camp in the United States for its current season: applications, payments, installments, scholarships and reminders. For their privacy we don't name them, but in the demo we show you the system working, with sample data.

How long does it take to set up?

It depends on how many programs and forms you have. In the demo we look at your current process and give you a date in writing.

We already use another registration system. Can we switch?

Yes. We set up the next season in the new system. Bringing over data from past seasons can be done too, and it's quoted separately.

Who will we be working with?

With me, Gina Strauss, founder of LanzAi. I built this system and I support it every day for the camp that uses it today. You write to me directly, not to a call center.

Who owns the data?

Your camp. The database, the Stripe account and the domain are in your camp's name. You can export everything to Excel at any time.
